A successful sourcing project starts with a clear product requirement. Before asking suppliers for prices, prepare the basic information they need to quote the same specification.

1. Prepare a clear product request

Include a product photo or link, estimated quantity, target material, size, color, logo requirements, packaging needs and destination country. A vague request often produces quotations that cannot be compared properly.

2. Compare more than the unit price

Check the minimum order quantity, sample cost, lead time, packaging, payment terms and whether the supplier understands your specification. The cheapest quotation is not always the lowest-risk option.

3. Confirm a sample or approved reference

For products where size, color, workmanship or function matters, confirm a sample or an agreed reference before mass production. Record the approved details in writing.

4. Plan inspection before shipment

Inspection scope depends on the product and order size. At minimum, confirm quantity, visible workmanship, packaging, labels and key specifications before the goods leave China.

5. Compare shipping based on total requirements

Shipping method depends on cargo size, weight, urgency, destination and customs requirements. Ask for a clear explanation of what is and is not included in the quotation.
